2022 Spring Conference Call for Abstracts

IMPORTANT: In order to receive important communication from the AWRA Team about your conference participation, you must add [email protected], [email protected], and [email protected] to your safe sender list.

NOTICE:

AWRA will continue to hold this conference in-person as planned with strict safety and health protocols in place to continue our commitment to keep conference participates and AWRA safe. We cannot confirm there will be a hybrid component to this conference at this time. When submitting a Call for Topical Sessions and Workshops, please submit these knowing you are making a commitment to be in-person. If circumstances change in the local area (i.e. similar to the overwhelming spread of COVID-19 in Orlando and the health crisis that followed), the AWRA Board of Directors will assess the situation as it unfolds and may choose to make different choices at this time.

In the world we live in today, there is an inherent and permanent risk of being exposed to COVID-19 in your daily life. Trips to the grocery store, getting gas, picking up your children from school, and seeing family and friends are among the risks we take daily to live a normal and productive life. AWRA seeks to normalize how the AWRA community can gather in-person to fulfill our mission of community, conversation, and connection in the water resources community. Our safe and healthy protocols in place are the best practices of in-person gatherings today. The restrictions that are in place are the current standards, and protocols may change closer to the conference date. UPDATED: January 10, 2022

CALL FOR ABSTRACTS CLOSED

Excellent oral and poster presentations on timely topics are the foundation of any conference, and the AWRA 2022 Spring Conference is no exception. We rely on our attendees to provide much of the content. AWRA hereby invites you to submit abstracts that include, but are not limited to, topics and sub-topics related to water risk

Abstract Submission Instructions

A list of possible topics for this specialty conference is provided for you. The list is not comprehensive, so feel free to use your imagination; if you need advice, contact the Conference General Chair, Tapash Das ([email protected]) and Technical Program Co-Chairs, Bangshuai Han ([email protected]) and Siddharth Saksena ([email protected]). We seek both oral and poster presentations. We only accept 350-word abstracts at the time of abstract submission (no papers are required). More instructions are found when you are ready to submit your abstract.

Presenter Expectations and Commitment

  1. All presenters must pay a registration fee and attend the conference. If you submit an abstract and we accept it, we consider it a professional commitment that you will attend and deliver your talk.
  2. If you must withdraw after acceptance, please inform us as soon as possible, so we can avoid leaving gaps in the program. Abstracts that are withdrawn and no replacement presenter is confirmed, will be removed from the program one month prior to conference.
  3. 30 days prior to the conference, AWRA will be contacting confirmed speakers who have not paid their registration for the conference. Those presenters will need to confirm with us their intention of registering for the conference and delivering their presentation. Failure to register after commitment and not finding a replacement speaker will result in future abstracts not being considered.

Before submitting your abstract, please have all the following information with you:

Please note: The presenter's name and affiliation will be listed in the program EXACTLY as submitted in the abstract submission system. Please review before you submit. In addition, designations will not be included in the program.

  1. Name, employer affiliation, complete mailing address, email address, and phone number of the primary contact; and the name of the presenting author if different from the primary contact.
  2. A secondary email is required for the presenter and must be completed. Often time, work emails security systems will block AWRA correspondence. Please make sure to add [email protected] and [email protected] to your safe subscriber list.
  3. Name, affiliation, and email address of any and all co-authors.
  4. If your talk is part of an already-accepted topical session, you must submit an individual abstract for your talk. Your convener will have been provided with a session code. Please include the session codes during your submission. If you do not have a session code, then your talk is not part of a topical session. Session Codes are listed here.
  5. Type of presentation: (a) Oral Presentation – Individual Talk; (b) Panel Presentation – You are submitting an abstract for the entire panel (and accepting the duty of delivering all presenters to the session); (c) Poster Presentation – Individual or Co-Authored Poster; (d) if you will accept either Poster or Oral, as the organizing committee might prefer; (e) Workshop; or (f) Lightning Session.
  6. Title of your presentation.
  7. Abstract (350 words or fewer).
  8. Credit card information for payment of non-refundable abstract submittal fee ($25). Payment of the abstract fee must be made before abstract submission can be completed.
  9. Any author may submit multiple abstracts of any kinds, but you will need to pay $25 per abstract. Abstract submittal fees are non-refundable.

Other Ideas – Workshops, etc.

If you would like to organize a workshop, please send your workshop proposal to [email protected] and the information will be passed on to the Technical Program Co-Chairs. We are looking for creative, original, and compelling ideas. In your email, please include the following:

  • Subject line: 2022 Spring Conference Workshop Proposal
  • Workshop Title
  • Description and learning objectives
  • Length of workshop
  • Speakers with full contact information, affiliation, and titles
  • Meeting space (size) limitations (if any)
  • Technology (audio/visual, etc.) required

Review of Abstracts and Notification of Acceptance

Soon after the submission deadline, abstracts will be reviewed by the Program Committee and the authors will be notified if the abstract is accepted or declined. Acceptance of abstracts is based on the following criteria:

  • description of the work;
  • the extent of their technical content and its originality;
  • currency, i.e. level of interest in the topic within current problems and interests;
  • technical merit; and
  • relevance to the broad field of water resources.
We typically decline abstracts whose main purpose is to promote a particular brand, product, or firm. Authors' suggestions for topic and format placement (oral, panel, or poster) will be considered; however the committee has the final decision where an abstract is placed in the final program.

The writing and organizational quality of the submitted abstract will be viewed as an indication of the quality of the presentation, and we seek high-quality, well-organized, professional-language presentations. The authors’ performance at past conferences or failure to give timely notification of cancellation may influence acceptance. Abstracts received after the deadline may not be considered or accepted. Acceptance notification will be made via email. All conference attendees, including presenters, must pay the conference registration fee.

NOTE: Abstract submission fees are nonrefundable.

REGISTRATION NOTE & CANCELATION POLICY

BEFORE REGISTERING, click here to read the COVID-19 Liability Waiver and Affirmation of Conduct Restrictions. You will be required to sign, date, and upload this into the conference verification tool. Instructions for accessing and uploading the required documents are found on the Spring Conference COVID-19 Protocols page.

Register for Conference

All conference participants (presenters, moderators, panelists, etc.) must register at the appropriate registration rate. AWRA Gateway members are not eligible for discounted conference rates. The registration fees are the major source of funding for the Conference, and the sharing of registrations is prohibited - every person attending the conference must register. For presenters, if two or more individuals will be presenting, each individual must register for the conference. This includes all oral/technical session presenters; all panel session presenters; and all poster session presenters.

Cancelations must be made in writing. We can transfer your registration to someone else by March 11, 2022. Those cancelations received by March 11, 2022 will be subject to a processing fee of 25% of total fees. No refunds will be given after March 11, 2022 - no exceptions! Abstract submission fees are nonrefundable. Refunds will be processed after the conclusion of the conference.
